Rental Property Overview

The Rental property area should tell staff four things at a glance: who occupies the property, what the tenancy terms are, whether the property is compliant, and whether anything needs attention.

Rental lifecycle

Valuation/instruction → available → tenant selected → tenancy setup → active tenancy → inspections/compliance/repairs/payments → renewal or tenancy end

Active tenancy

For a managed property, keep the agreement information current, including:

  • tenant(s)/occupants;
  • start/end dates;
  • rent and payment terms;
  • deposit/bond information;
  • management/service details;
  • guarantor information where used.

Use Creating and Starting a Tenancy when setting up a new agreement.

Compliance

Do not treat certificate dates as passive reference data. They should drive action before expiry.

Typical items include gas safety, EICR, EPC, property licence, deposit information and Right to Rent as relevant to the tenancy/property.

Inspections and service appointments

Record property inspections/service visits through the appropriate appointment workflow so staff can see what is due and what has been booked.

Repairs

Use the Repairs workflow to record the issue, assign a contractor, record quote/final cost and track completion. See Managing Repairs and Maintenance.

Tenants using My Move can report repairs, and landlords can respond to recorded repair quotes where that portal workflow is enabled.

Financials and arrears

Use tenancy financials for rent/payment transactions. The Tenant List provides a useful operational view of current tenants, agreements, balances and repairs.

For overdue payments use Chase Outstanding Rent.

Utility providers and inventory

Record utility and inventory information where your agency process requires it, especially when it will be needed at move-in/move-out or for ongoing management.
