Sales Property Overview
The Property record is the live operational record for a sales instruction. Instead of thinking of it as a collection of tabs, use it as the place where the property moves through its lifecycle.
The normal sales lifecycle
Pre-valuation → valuation booked → awaiting decision → instructed/prepared → available → viewings/offers → sale agreed/SSTC → progression → exchanged → completed
The exact status names available can depend on agency configuration and guided/free mode.
What to do at each stage
| Stage | Main job in Standout |
|---|---|
| Valuation enquiry | Link the owner, record basic property information and book the valuation. |
| Awaiting decision | Record valuation advice and create a follow-up action. |
| Instructed | Complete particulars, media, price and marketing information. |
| Available | Match applicants, manage enquiries and book viewings. |
| Viewings/offers | Record feedback and offers. |
| Sale agreed/SSTC | Confirm parties/solicitors/chain information and begin progression. |
| Exchanged/completed | Record the final transaction stage and any associated invoice/completion information required by your agency. |
Address and ownership
Keep the property address/display address accurate because it is used throughout marketing and customer communication.
Link the correct owner/vendor contacts rather than typing ownership information only into notes.
Basics that affect matching and marketing
Fields such as bedrooms, property type/style, price and location are not cosmetic. They affect applicant matching and portal presentation.
Descriptions, rooms and media
Complete marketing information once the vendor instructs. Keep descriptions factual and make sure media is ordered appropriately before launch.
Internal information
Use internal fields/notes for agency-only information such as access instructions or operational details. Do not put internal comments into customer-facing descriptions.
Viewings and offers
Use the linked property workflow rather than generic notes. The viewing/offer history should explain who viewed, the outcome and any negotiation.
Progression
Once a sale is agreed, use progression markers and chain information to make the current position visible at a glance. See Sales Progression to Completion.
Documents and history
Store relevant property documents in Standout and use history to understand important changes. My Move may expose selected customer-visible information, but it does not expose every internal property document.
