Recording Viewing Feedback

Viewing feedback should capture enough information to help the vendor/landlord and the negotiator understand what happens next.

When to collect it

Contact the viewer promptly after the viewing, ideally while the property is still fresh in their mind.

What to ask

Useful questions include:

  • Overall impression?
  • What did they like?
  • What stopped them from proceeding?
  • How did they feel about the price?
  • Would they consider a second viewing?
  • Are they interested in making an offer?
  • Has their search changed as a result?

Where your agency asks for a valuation/price opinion as part of feedback, record it accurately.

Record the feedback in Standout

Open the property/viewing and enter the result in the viewing/offer area rather than only adding a contact note. This keeps the feedback connected to the specific viewing.

Update the applicant if necessary

Feedback often reveals a requirement change. For example, garden too small or needs downstairs WC may be useful criteria for future matching.

Update requirements where the customer confirms that the search has changed.

Vendor/landlord communication

Use the configured Standout communication options to pass appropriate feedback to the owner. Keep internal observations separate from feedback intended for the customer where necessary.

If they want to offer

Continue directly to Recording and Negotiating Offers. Do not record an offer only as a note.

If they are no longer looking

Update their status/requirements so they do not continue receiving unsuitable property alerts.
