Start date
Use this workflow when tenancy financials show unpaid/overdue rent and you need to contact the tenant with a clear record of what is outstanding.


End date

Check the tenancy/payment record first. Make sure the balance is genuinely overdue and that any recent payment, credit or agreed arrangement has been recorded.


Period
== Review the agreement ==
The arrears screen shows the agreement, property, landlord, tenant and the relevant financial transactions.


Rent due on
Focus on the individual overdue transactions and how long they have been overdue rather than only the total balance.


Property reference (opens the property in a new tab)
== Select the transactions to chase ==
Choose the outstanding items to include. This allows the resulting communication to explain exactly what is being requested.


Address (as above)
== Prepare the communication ==
Standout can prepare an email or Word document using the selected transactions. Review the subject/body before sending.


Owner/Landlord
Where using a document, options can include agency details, tenant/address, today's date and staff details.


Tenant (opens the tenant in a new tab)

Send the email or produce the letter according to agency procedure. If the tenant agrees a payment date or arrangement, record the conversation and create a task for the agreed follow-up date.


Mobile(if you are on a mobile, it will open your phone dialler)
== After payment ==
Make sure the payment is recorded/reconciled in the tenancy financials. Do not leave an arrears task open after the balance has been resolved.


Email (creates a new email in your assigned email software)

Displays Date, Overdue by, Description, Status, Fee, Amount, Tenant Balance, Select (select all with either select or unselect every transaction)

Once you select at least one transaction, the button "Select" will appear that the bottom of the form. Click this to select the selected transactions and Email subject, Email body (formatted with text and transactions which is editable).
 
Download options (only used when clicking the button "Download word document"
Include Agency details at the top - adds your agency name and branch address at the top right of the document
 
Include Tenant name and address at the top - adds the Tenant Saluation and rental property address on the left of the document
 
Include Todays date - adds the current day date on the document
 
Include Staff details - adds your details to the bottom of the document
 
 
Download word document - creates a docx formatted document which is downloaded to your computer (if file storage is configured, a  copy is stored in the Tenants file section.
 
Send email to tenant - places an email in the queue to send directly to your tenant (requires tenant email address to be entered)
