Daily Negotiator Workflow
This is a practical routine for using Standout through a normal working day. It is not mandatory, but it keeps appointments, follow-ups and opportunities from falling between different screens.
Start of day
- Open the Dashboard.
- Open the Communications Centre and deal with new/unread enquiries or Customer Portal messages that need a prompt response.
- Check today's diary and any appointments that need preparation.
- Open the Task List and deal with overdue tasks first.
- Review notifications and messages.
- Open Opportunity Finder and identify the strongest prospecting calls for any available gaps in the diary.
Before a valuation
- Open the property/contact.
- Check the owner's contact details and address.
- Review previous notes and any earlier valuation history.
- Confirm the diary appointment and directions.
- If appropriate, prepare any valuation/take-on checklist or letter available from the appointment/property workflow.
After returning, follow Sales Valuation to Instruction or the rental take-on workflow.
Before a viewing
- Open the viewing appointment.
- Check the applicant is still looking and the requirements still make sense.
- Review any important property notes and access/key instructions.
- Confirm whether the viewing is accompanied or unaccompanied.
After the viewing, record the outcome promptly using Recording Viewing Feedback.
During calls and enquiries
Portal leads, website enquiries and Customer Portal conversations should be worked from Communications Centre. Link an existing Contact wherever possible and use the enquiry status/assignment so colleagues can see who owns the next action.
Always search for the caller before creating a new contact. If the enquiry is a potential instruction, the Telephone wizard can create the contact/property and help book the valuation in one flow.
For applicants:
- register or update the contact;
- update requirements;
- run matching;
- book a viewing where appropriate;
- create a task if a follow-up is promised.
Prospecting time
Use Opportunity Finder as a prioritised list rather than manually trawling old contacts.
A useful sequence is:
- property-to-sell buyers;
- recent lapsed valuations;
- withdrawn vendor win-backs;
- dormant applicants.
After every call, record the outcome and use the workflow action so the opportunity does not repeatedly return as if untouched.
End of day
- Complete tasks that are finished rather than leaving them open.
- Move unfinished actions to a realistic future date.
- Check Communications Centre for any new/assigned items that still have no first action.
- Check tomorrow's appointments for gaps or clashes.
- Make sure valuation/viewing outcomes have been recorded.
- Check that any important customer promise has either been completed or captured as a task.
The goal is simple: another member of staff should be able to open Standout tomorrow morning and understand what happened today.
