Marketing a Sales Property
This guide starts when a vendor has instructed the agency and ends when the property is live, matching applicants and ready for viewings.
For the earlier valuation stage, see Sales Valuation to Instruction.
Before you make the property Available
Check the record as though you were the applicant seeing it for the first time.
Ownership and contact
- Correct vendor(s) linked.
- Telephone/email information current.
- Any access/key instructions recorded internally.
Core property information
- Correct address/display address.
- Asking price.
- bedrooms, bathrooms and reception rooms.
- property type/style/tenure as relevant.
- important features.
Marketing content
- brief/full descriptions are complete and accurate;
- room details/dimensions are entered where your agency uses them;
- photographs are correctly ordered;
- floorplan/EPC/other marketing media are present;
- portal/website settings are correct.
Use Brochure Printing where the vendor needs to approve particulars before launch.
Vendor approval
If your process requires approval, generate the brochure/particulars and obtain agreement before making the listing live.
Do not treat Available as a drafting status. It should mean the property is genuinely ready to be marketed.
Make the property Available
Change to the appropriate live status and save.
Depending on your agency configuration, the property can then be supplied to your website and configured portals. Allow for the normal feed processing time rather than repeatedly changing the record because a portal has not updated instantly.
Run applicant matching
Once live, use the matching system to identify applicants whose requirements fit the property. Review the matches before contacting customers.
See Managing Applicant Requirements and Matching.
Handle enquiries and viewings
When an applicant wants to view:
- search/create the contact;
- confirm/update their requirements and buying position;
- book the linked viewing using Booking and Managing Viewings.
Afterwards, use Recording Viewing Feedback.
Offers and progression
When somebody wants to offer, continue to Recording and Negotiating Offers. Once accepted, use Sales Progression to Completion.
If details change while marketed
Update Standout first, then allow the configured website/portal feeds to update from the CRM. Keep the CRM as the master version rather than editing external portals independently unless your agency process specifically requires it.
Common launch problems
- Wrong price/status.
- Missing or poorly ordered photographs.
- Incomplete bedrooms/type/style causing poor matching.
- Vendor details not linked correctly.
- Making a property live before particulars are approved.
