Diary
The Diary is the shared record of who is doing what and when. Its value comes from booking appointments through the correct Standout workflow so the appointment remains linked to the relevant customer/property.
Use the right kind of appointment
Use linked workflows for:
- valuations;
- property viewings;
- rental inspections;
- staff visits;
- tasks/reminders where a task is more appropriate.
Use a generic appointment for meetings or events that do not belong to a property/customer workflow.
Booking a valuation
The recommended route is:
- Open/create the property at the valuation stage.
- Choose Book Valuation.
- Select the agreed diary date/time.
- Confirm the staff member and notification/letter options.
- Create the appointment.

Booking a viewing
Use the property's Book Viewing workflow so the diary entry knows which property and viewer it belongs to. See Booking and Managing Viewings.
Creating another appointment
Use + New for a general appointment. Enter a meaningful subject, location, branch, staff member, category, start and end time.
Use Private only where appointment details genuinely need to be restricted. Use Tentative when the time has not yet been confirmed.
Looking at the diary
Switch between day/week views and staff/team selections to plan workload. Include unaccompanied viewings where you need a complete view of property activity.
Office 365 integration
Where a staff member is signed in to Office 365, Standout can create appropriate appointments in Outlook as well. Do not assume an Outlook entry replaces the Standout diary record; Standout remains the CRM record connected to the customer/property.
Before finishing with an appointment
After it happens, record the outcome in the relevant workflow. For example:
- valuation: confirm valuation/advice and next status;
- viewing: record feedback and any offer;
- inspection: record the result/action;
- meeting: add any important note/task arising from it.
An appointment with no recorded outcome leaves the next member of staff guessing.
