Sales Progression

Sales Progression gives sales teams a clearer view of agreed sales that are moving normally, need an action soon or need immediate attention. It builds on Standout's existing property progression markers and chain rather than replacing them.

Where to find it

There are two main places to work with sales progression:

  • Open a sale property and select its Progress tab for the individual sale plan and chain.
  • Open the existing Property Progression screen for a management overview of all sales in the current result set.

Sales Progression overview on a property

The Progress tab now includes a Sales Progression overview. Depending on the sale, it can show:

  • overall health: On track, Action due soon or Needs attention;
  • the next action and its due date;
  • an automatically suggested next action when no manual next action has been entered;
  • target exchange date;
  • target completion date;
  • assigned progressor;
  • a blocker and the date the blocker began;
  • the last-chased date;
  • warnings for blockers or overdue actions elsewhere in the chain;
  • whether the summary is visible in the Customer Portal.

Save changes from the property Progress tab in the normal way.

Understanding the health colours

Colour / label Meaning
Green – On track No current blocker or overdue progression item has been detected and no action is due imminently.
Amber – Action due soon The next action or suggested action is due within the next three days, or a chain action is due within the next seven days.
Red – Needs attention There is a blocker, an overdue progression marker, an overdue next action, or an overdue/blocking item elsewhere in the chain.

The health is calculated from the sale plan, the existing progression markers and chain information. Staff do not have to set the colour manually.

Next action and automatic suggestions

You can enter a manual Next action and due date for the sale. If no manual action is set, Standout looks at the property's existing progression markers and suggests the most relevant outstanding milestone.

The suggestion gives priority to overdue markers. Depending on the marker it may be shown as:

  • Chase: [milestone] when the milestone target date has passed;
  • Progress: [milestone] when the milestone is already in progress;
  • Next milestone: [milestone] for the next outstanding item.

Existing progression markers remain the main milestone/task system. Sales Progression does not create a second set of duplicate milestones.

Blockers

Use the Blocker field for an issue currently preventing the sale from progressing, for example waiting for a legal issue, mortgage matter or linked chain problem to be resolved.

When a blocker is first entered, Standout records when it began. Removing the blocker clears the active blocker state. A blocker makes the sale health red.

Blocker text is an internal staff note and is not shown to the customer in the Customer Portal.

Last chased

Use Mark chased when a chase has been made. Standout records the date so staff can see when the sale was last actively followed up.

Sales Progression does not automatically telephone or email solicitors, buyers, vendors or agents. The feature currently records and prioritises the work; chasing itself remains a staff action.

Target exchange and completion

The sale plan can hold target exchange and target completion dates. These dates are also available on chain positions and, when Customer Portal visibility is enabled, can be shown to the customer.

Target dates are planning dates. Update them if the agreed expectation changes.

Assigned progressor

A sale can be assigned to a member of staff as its progressor. The selected member of staff must belong to the current agency.

Chain progression

The existing chain has been retained and enhanced. Each chain position can now hold:

  • progression stage;
  • last contacted date;
  • next action and due date;
  • blocker;
  • target exchange date;
  • target completion date.

Chain cards surface the stage, blocker, overdue action and next action alongside the existing vendor, estate agent, solicitor and notes information.

A blocker or overdue action elsewhere in the chain can cause the subject sale to show as Needs attention. This exposes problems beyond the immediate property rather than allowing a difficult chain link to hide several cards away.

Property Progression management overview

The Property Progression screen now starts with a sales-progression dashboard for the current result set. It shows:

  • Sales in view – number of sales in the result set;
  • Blocked – sales with a sale-level or chain blocker;
  • Actions overdue – sales with an overdue next action or chain action;
  • Due next 7 days – sales with an action due during the coming seven days.

Each sale row/card also shows its health, blocker and next action where available. Use this screen as the morning work queue, then open the individual property to update the detail.

Customer Portal visibility

When Show in Customer Portal is enabled for the sale, eligible seller/buyer portal users can see a Progress section containing:

  • overall sale-plan health;
  • next action, including the automatic suggested action when there is no manual action;
  • target exchange date;
  • target completion date.

The internal blocker text is deliberately excluded from the portal.

Turn portal visibility off for a sale when staff do not want the progression summary shown externally.

Recommended workflow

  1. Open Property Progression and review the blocked and overdue totals.
  2. Deal with red Needs attention sales first.
  3. Open the property and review the Progress tab and chain.
  4. Update any blocker, next action and due date.
  5. Use Mark chased after contacting the relevant party.
  6. Keep target exchange/completion dates current.
  7. Check whether the summary should remain visible in the Customer Portal.
  8. Return to the management overview and continue through the priority list.

Important notes

  • Existing progression markers, offers, contacts, diary workflow and chain records continue to be used.
  • Sales Progression reads existing progression markers to suggest work rather than replacing them.
  • Customer Portal users never see the internal blocker text.
  • The feature prioritises chasing but does not send automatic chase messages.
