Recording and Negotiating Offers
Offers should be recorded through the property's viewing/offer workflow so Standout can retain the offer history and generate the appropriate communication.
Before recording an offer
Confirm the buyer/contact record and establish their current position, including where relevant:
- offer amount;
- cash or mortgage;
- Agreement in Principle/mortgage position;
- deposit/source of funds;
- property to sell and its status;
- chain position;
- proposed timescale;
- conditions attached to the offer;
- solicitor details where already known.
Customer Portal Buyer Ready can help collect some of this information, but staff should review it before relying on it.
Record the offer
Open the property and use the offer workflow for the relevant applicant/viewer. Enter the offer and the qualification information required by your agency.
Do not put an offer only in a contact/property note. The structured offer history matters if the amount changes or several buyers are negotiating.
Present and negotiate
Record subsequent changes as part of the offer negotiation. Keep meaningful notes about conditions or vendor instructions.
If the vendor rejects the offer, keep the offer history and continue the negotiation/follow-up as appropriate.
When an offer is accepted
Before treating the sale as fully progressed, check:
- correct purchaser(s) linked;
- accepted price;
- vendor and purchaser solicitor information;
- buyer funding/chain position;
- AML/compliance steps required by your agency;
- memorandum/offer accepted communications generated where appropriate.
Then move the property into the appropriate sale-agreed/SSTC stage and begin Sales Progression to Completion.
If the sale falls through
Update the property/offer status accurately and review previous interested parties/viewers where appropriate rather than starting from a blank slate.
Good practice
An accepted offer is the start of a new workflow, not the end of negotiation work. Create the progression actions immediately while the parties and information are fresh.
